In the trial

  • Chart of accounts rebuilt for a cleaning company, with labor, supplies, mileage and subcontractor costs separated so per-visit margin is visible.
  • Bank and card feeds connected, the most recent quarter reconciled, payroll and contractor payments categorised correctly.
  • A one-page monthly report: revenue by service type, gross margin per visit, acquisition cost, recurring versus one-time mix.

Bookkeeping and financials for a cleaning company

Marketing decisions are guesses without clean books. Most cleaning companies cannot answer the two questions that matter: what does a client cost to acquire, and what is the gross margin on a visit after labor, supplies and drive time. Without those, a 45 dollar lead is either a bargain or a disaster and you cannot tell which.

This trade has specific traps. Cleaners classified as contractors who are really employees. Supplies and mileage lumped together so per-visit cost is invisible. Cash payments that never reach the ledger. Prepaid packages booked as revenue the day they sell rather than as visits are delivered.

The mistake is waiting until tax season. Books reconciled once a year cannot inform an ad budget in March. A monthly close delivered in the first week gives you a real gross margin per visit and a real acquisition cost, and those two numbers decide how much you can spend to grow. At two weeks the last quarter is reconciled.

Questions

House cleaning companies ask

Are my cleaners contractors or employees?

In most states, if you set the schedule, supply the products and direct the work, they are employees. Misclassification is one of the more expensive errors in this industry. We flag the exposure and you take it to your own advisor.

What margin should I be running?

Gross margin per visit, after cleaner pay, payroll cost, supplies and drive time, generally lands between 40 and 55 percent. Below 35 percent you cannot afford to advertise, and no marketing plan fixes that.
